Policy for ILTS Announcement, Endorsement or Sponsorship of Non-ILTS Meetings
ILTS Mission Statement:
To promote and disseminate multidisciplinary scientific advances in liver transplantation worldwide.
Purpose:
This policy establishes criteria for evaluating requests for endorsement or sponsorship (financial support) of non-ILTS meetings.
Who can submit proposal:
Current ILTS members and/or societies who have an interest in liver transplantation.
Definitions and Requirements:
ANNOUNCEMENT ONLY – meeting notice & link on ILTS media (website, newsletter, social) without formal program review or monetary support
- Applies to meetings not viewed as competing with ILTS activities but potentially of interest to ILTS members, i.e. announcement is a service to ILTS members and liver transplant community
- Simplified application process: meeting name, location, dates, sponsoring society, intro text, link to meeting website, program chair contact name and email, PCO contact name and email
- Initial review and recommendation by ILTS Secretary, to be approved by Executive Committee
- Program quality may be judged on basis of previous meetings and/or reputations of societies/individuals involved
- Announcement in ILTS.org Meetings page and/or in ILTS newsletter: prominence and frequency at discretion of Secretary or Website Administrator
- No formal requirement for reciprocal promotion
ENDORSEMENT – ILTS approval and affiliation without monetary support
- Request must be received at least 6 months prior to the program dates.
- Request to include completed application and program.
- ILTS Education Committee and Council will have the ability to review the plan for publications resulting from the meeting (proceedings, supplement, consensus document, etc.).
- ILTS logo to appear on requestor’s meeting material and website.
- ILTS will post endorsed meeting on ILTS website.
- Email announcement to ILTS members of an ILTS endorsed program will be reviewed on a case by case basis
SPONSORSHIP – Monetary sponsorship requested from ILTS
- Request must be received at least 8 months prior to the program dates.
- Request to include completed application and program.
- ILTS will have the ability to make recommendations to the program agenda.
- ILTS Education Committee and Council will have the ability to review and make recommendations to the plan for publications resulting from the meeting (proceedings, supplement, consensus document, etc.).
- At least one speaker must be a current ILTS member.
- ILTS logo to appear on requestor’s meeting material and website.
- ILTS will post sponsored meeting on ILTS website.
- ILTS will promote the meeting through ILTS membership email announcements.
Approval Process for Endorsed or Sponsored Programs/Meetings
- Request form completed with preliminary program and budget included.
- Program is sent to the ILTS Education Committee for review and a recommendation is made to the ILTS Council to approve or deny the program. Should program be a “sponsored” program, the ILTS Education Committee will review financial requests and provide program recommendations to ILTS Council to review prior to final approval.
- ILTS Secretary approves or denies announcement and endorsement.
ILTS Council approves or denies endorsement or sponsorship.
